Settings: How to setup Custom Fields

Find out how to define custom fields for Enterpryze and link them to your custom fields in SAP Business One.

What are Custom Fields

A custom field enables you to add additional information into any of the document screens to capture more data in Enterpryze. You can also link those Custom Fields to SAP Business One where you have already defined custom fields.

 

Tip: This is only available at header level for documents.

 

You can have a maximum of 100 custom fields for each document type so plenty of scope to add data that is important to your business.


 

How to setup Custom Fields

Let’s take a look at how easy this can be done within Enterpryze.

Click on Settings, Custom Fields.

 

  • Now click on Add custom Field in the document section you want to add a field to.

  • The Display on forms box is ticked to ensure the field will be displayed on that document for you. You can simply untick this when you need to hide a field in the future.

  • Enter a Name for your field.

  • Now select the Data type:

- Free text = enter any text

- Integer = this is a whole number

- Number = any number including decimals

- Date = Date selection on field

- Linked Table = linking to a field within SAP B1 with list of values for user to choose from

 

  • Custom field in SAP - this is where you can select the custom field that you imported from SAP Business One, see next section below to ensure your fields are imported correctly.

  • Now click on Save to add your field.


 

How to link Custom Fields from SAP Business One to Enterpryze

Now let’s take a look at how to link a Custom field to one of your existing fields in SAP B1.

 

N.B You first have to enable synchronization of the UDF’s while all users are signed out of SAP before you proceed, this process should only take approx. 30 seconds then users can log back in.

 

Tip: If your SAP field is not showing you will need to reimport Dictionaries into Enterpryze, check this out here.

 

Now add your field in Enterpryze and link it to the corresponding custom field in SAP B1.

 

For Services you can map Arrival and departure times from Enterpryze to SAP B1. This allows you to track when service users carry out jobs on site when using the Enterpryze Service Mobile App. The Service calls will be updated and this will also then synch back into SAP B1 for you.

 

The same applies on Deliveries, you can map Arrival and departure times from Enterpryze to SAP B1. This allows you to track when your van drivers are using the Enterpryze Delivery Mobile App. The Delivery documents will be updated and this will also then synch back into SAP B1 for you.
