How to add Price lists and warehouses for your stock items.

Stock Item Settings

This is where you can define Price Lists and warehouses for your stock items.

  • Click on Settings > Module Settings > Price Lists

Price Lists

A Price list can be allocated to your stock items to record prices for that item. You can then allocate a price list to your Customers and Suppliers so when stock is bought or sold it picks up the correct price list price. Price lists can be stored in different currencies.

  • Simply add your price list, choose the currency for the Price list.

  • You can now also select Is Gross Price List - by ticking this box you are confirming that the price list is a Gross price inclusive of VAT/Tax. This also means that the price displayed on your Sales and Purchase documents will be the Gross price.


Price Lists Visibility

You can now decide if you would like all users to see all price lists, or simply limit each user to specific price lists.

  • Global level - you can select the price lists for everyone to see

  • User Level - you can select specific price lists for each user to see, this will overwrite the global level setting for that user


Warehouses enables you to create storage locations for your stock items. Warehouses are setup separately to your stock items, you can store an item in all warehouses or simply add the item to one warehouse to suit your needs. This can help you get an overview of your stock showing you where there are quantities available.

  • There is already a default General Warehouse defined, however you can rename this as required. If your company only has 1 warehouse you can start using this for your transactions.

  • Click on the + sign to add a new Warehouse

  • Assign an ID number to your warehouse, eg. 01, 02, 03 etc

  • Enter the Name for your warehouse

  • Dropship - you only tick this box if stock is actually not delivered to this warehouse, it is in essence a virtual warehouse for the purpose of customer ordering. Use this warehouse when the company does not manage inventory but receives commission for every order. An example of this is where goods are shipped directly to a customer from your Supplier as you do not hold the stock.

TIP: when a 'Drop Ship' warehouse is used in Sales Delivery and Purchase Goods Receipt transactions, there are no cost of sales and stock receipts recorded in the financial accounts. Accordingly, there are no effects on the stocks and their valuation costs.

  • Default - select this option to set the default warehouse for storing your stock
