How to import your data using the Enterpryze File importer

Follow these steps to import your data from Excel. Sample Templates can be downloaded or you can use your own.

Here you can import data from Excel. You can import Customers, Suppliers, Contacts. Items, Sales and Purchase Orders and Invoices, Journals, Goods Receipts and Service Calls.

You can choose to download our templates or use your own Excel spreadsheet. Our template has the available fields with the defined length and format so you can match it to yours.

Once you have saved your import file and select it for importing, field mapping is automatic on our Template or you can match the fields in Enterpryze with your template.

Once the data is imported you can review historical imports and see how successful they were.

To access the File Import click on Settings – Import Data

To complete a file Import follow the steps below:

1. Select the data you want to import

2. You can now Download our template or use your own Excel spreadsheet. Our template contains the required Field lengths and formats so you can match to your own one.

When you download our template when you click on it you will be taken to Excel where you need to click on ‘Enable Editing’ . The Template contains the Fields (Header) and a sample row of data to give you an idea of what is required for each field.

Mandatory fields are marked with an Asterix * and an explanation of each field is provided when you hover your mouse over them.

3. When you have all the data in the spreadsheet save it as a new file.

4. Now select your spreadsheet to import.

5. Fields will be mapped automatically when using our template. If you are using your own template you can also map them manually on the screen with the fields in Enterpryze. Mandatory fields are marked with an Asterix * and must be matched in order to import your data successfully.

A preview of your first row of data will be shown in the sample data from the file column and if the data format of the first row is valid.

6. You can save the mappings to speed up future imports or you can reset the mappings to the default state.

7. Now you are ready to start the Import. The default option is set to Skip, this means that if the data already exists it will skip that record. To update or add Contacts you will need to select Update before you import.

8. Now Refresh the History to monitor the success of your import.

You will be able to see the number of records, how many were added, updated, skipped, or incurred an error. You can click through to see the details of the error messages and correct your template as required.
