How to add a new Customer

How to add a new customer, add addresses, assign tax codes, bank accounts, needed for your Sales Transactions.

Your customer is the buyer of your goods or services so will be used throughout all of your Sales transactions.

  1. To add a new customer click on Companies > Customers and + New Customers

2. Now fill in the Customer details

  • Customer Code - this can be manually entered usually starting with the first 3 letters of the customer name and adding 3 digits to the end. For example 'Aldi' could be added as 'ALD001'.

Tip: If you have turned on 'Auto create Customer code' in Settings this will automatically be assigned for each new customer based on the Customer Name that you enter.

  • Customer Name - enter the customer name

  • Group - select the group Customers

  • Contact Type - select Customer

  • Currency - select the Currency for this customer, this will be used on all transactions for this customer. Exchange rates for foreign currencies are defined in Settings - Finance & Banking

  • Sales Person - you can select the Sales Person from the list of users who have already setup for your company. This Sales person will be assigned to all transactions for this customer, however you can also manually assign a sales person to your transactions. You can run reports from the transactions grids to see sales for each Sales person.

  • Phone - enter customer Phone number

  • E-mail - enter email address

  • Website - enter website address

  • Notes - this is a free text field for entering notes about your Customer for internal use, they will not see this information on any document.

  • Place on hold - this is a tick box field that allows you to freeze the customer account so no further sales invoices can be posted to it, this is very useful when your customer account balance is overdue.

3. Now click on the Addresses tab to add the addresses for your Customer. These will appear for selection on your Sales Transactions.

  • Click on the + add button to begin:

  • Enter the Name for your address so that you recognise it for this customer for example Head Office, or Main address etc.

  • Select the address type from Bill To and Ship To. The Bill to is the address used for Invoicing and Ship to is the address used for the delivery of the goods/services as this can differ from customer to customer. You can have multiple addresses added for each customer especially if they are in a number of locations.

  • Now fill in the remainder of the address information, select the relevant Country for your customer.

4. Click on the Contacts tab to add new contacts then click on the + button. Fill in the Contact details, make sure to add in the full contact users name as this is used as the Contact ID when emailing your documents.

You will see the Active field defaults to Yes which means this Contact will appear for selection on your Sales transactions. When a contact no longer exists you can change this to No.

5. Click on the Finance and Taxes tab where you can assign the following:

  • Payment Terms Id - select the payment terms from the list relevant to this customer, the list of options here can be defined in Settings - Finance & Banking - Payment Terms setup.

  • Discount % - the discount % entered here will be allocated to every sale for this customer, otherwise leave blank.

  • Default Price List - only relevant when using Inventory, you can select a price list to link to your Customer

  • Vat ID - enter the company Vat ID from your customer

  • Vat Status - select if the customer is liable to pay vat/tax

  • Vat Code - select the Vat code that is applicable to sales for this customer, if you do not know it at this stage you can also assign the Vat code on the Invoice.

Tip: Using Inventory in Enterpryze - Setting a vat code against a customer will take precedence over a vat code assigned to your Inventory items. You can leave it blank here if you want the Item vat code to be taken on the Invoice.

Additional fields for other localisations, Singapore, Malaysia and Thailand:

  • UEN - Unique Entity number

  • Withholding tax liable - is the customer liable or not for withholding tax

  • Withholding tax rate - if the customer is liable for withholding tax specify the correct tax rate here.

  • Organisation type for Withholding Tax Report - select report type for Thailand
